INSTRUCTIONS FOR RLN ACCESS VIA THE TELEPHONE ENTRY SYSTEM (CALL BOX)
Our community has been equipped with a DoorKing Telephone Entry System that will provide communication from the Front Gate located off Naples Reserve Blvd. to you. Your name and telephone number have been programmed into the telephone entry system under a specific 4-digit DIRECTORY CODE. If you do not know your Directory Code, contact the office staff at (239) 692-9379.
Guest or Vendor Entry – The Absolute Best Way: If your guest or vendor already knows YOUR specific directory code, they can simply enter the code on the keypad without having to look up your name in the resident directory. With over 1200 entries in the directory to scroll through, giving guests your 4-digit code is the absolute best way to allow entry. It will speed up the entry process greatly which will reduce wait times at the call box. They simply enter your 4-digit directory code and a call is then automatically placed to your phone. A guest or vendor CANNOT enter your telephone number using the keypad, it MUSTbe the DIRECTORY CODE ONLY!
Guest or Vendor Entry - The Less Desirable Way: Your guest or vendor can look up your name in a resident directory located on the LCD display. Next to your name will be your directory code. Our telephone entry system is equipped with a “CALL” button to place a call to you. Your guest or vendor must first use the A or Z buttons to scroll and find your name. When your name is displayed on the LCD screen your guest must press the CALL button to place the call to your phone. This is the least preferred method to gain entry. Scrolling through the list of names takes time that can result in backups at the guest entrance.
Granting or Denying Access to your Guest: Once you have answered the phone call and you have identified your guest, you have the choice to either grant access or deny access to your guest.
To GRANT ACCESS to your guest, press 9 on your touch-tone telephone. The telephone entry system will respond with a confirmation tone indicating that the gate arm is raising and will automatically disconnect itself. Some newer cell phones emit a very short duration tone when the number is pressed. If your telephone does this, you may have to press 9 twice in rapid succession to raise the gate arm.
*VERY IMPORTANT*To DENY ACCESS, press the “#” key on your phone. The call box will automatically hang up the call after 20 seconds but by pressing # to disconnect the call, you are helping to reduce backups at the call box.
We strongly suggest that you have your cell phone number in the call box. You can be on a call and receive another and you can allow entry from anywhere in the world that your cell phone has a signal. Programming in numbers related to the call box is as simple on your cell phone as adding a new contact. If you have decided to place your landline phone in the callbox and you do not have call waiting and you are on your telephone when a guest or vendor tries to contact you from the telephone entry system, they will hear a busy signal and will have to wait for you to end your call before they can contact you. If you are not able to answer the call from the call box, backups can occur that can result in frustration and even anger. Subscribing to call waiting can eliminate this problem.
Numbers to enter into your cell phone:
The call from the call box will be from (239) 793-3478. You can enter that number as a new contact and name it whatever you wish. Some suggestions are; Call box, Reflection Lakes Gate, Front Gate, whatever works for you. The call will then be easily identified when it comes in. Your guest or vendor will be frustrated if you reject a call from the call box because you do not recognize it. Do them and yourself a favor and put the call box number into your contact list.
We suggest that you store your 4-digit DIRECTORY CODE in your contact list to make it easier to remember. Again, you can name it whatever you wish. A suggestion is RLN Gate Code or RLN Directory Code. Putting it into your cell phone makes it easier to remember if you get infrequent guests or vendors. Your cell phone is nearly always with you. It can be a handy reference for your 4-digit DIRECTORY CODE.
If you block the number of the call box you will not receive calls. If you are seasonal and want to eliminate the potential for nuisance calls, you may block the number. But you must remember to unblock it when you are here in Reflection Lakes. Your failure to remove the block is not an indication of a problem with the call box.
Please, do your part to make entry into our community as easy and as quick as possible. Give your Guests or Vendors your 4-digit DIRECTORY CODE and have your phone ready with the call box phone number in your contact list. If you are expecting them, there may be no need for conversation. Answer the phone and press 9.
To familiarize yourself with the process your guest or vendor must perform to get access to our community, we suggest that you grant yourself entry through the call box. Drive up, enter your directory code and the call box will call your cell phone. Answer and press 9. Drive through and circle back around to the call box. Scroll, using the A or Zbuttons until you find your name. Press the CALL button, answer your cell phone and press 9.
Privacy: If you DO NOT want your name listed in the electronic resident directory, inform the Property Manager of this. Your telephone number can be stored in the system without your name being displayed in the directory. If you choose this option, you will need to inform your guest what YOUR 4-digit directory code is, otherwise there will be NO WAY for them to identify YOUR directory code on the telephone entry system’s electronic resident directory.
If you have any further questions regarding the use or operation of this system, please contact the staff in the clubhouse office or call (239) 692-9379.
